Virtual office for foreigners: a Warsaw address for your company registration in Poland

Setting up a Polish company from abroad? We provide your Warsaw registered address, receive and scan your mail, and confirm your right to the address in a signed agreement.

Company registration in Poland starts with a Polish address

A Polish sp. z o.o. needs a seat and address in Poland, entered in the KRS and shown on company documents. That is where letters from the registry court, the tax office, ZUS, banks and business partners arrive.

Living abroad, you need that mail received reliably and scanned to you within one business day — which is what Henry Estates does.

What you get with Henry Estates

Everything a Polish company run from abroad needs from its address:

  • Al. Jerozolimskie 133/2, 02-304 Warszawa, in central Warsaw’s business area — accepted by the KRS, CEIDG, the tax office and ZUS
  • A signed agreement letting you use the address in registers, on documents, invoices and your website (§1.4)
  • Standard and registered letters received and colour-scanned to your client panel within one business day
  • An e-mail for every new letter
  • Originals kept in Warsaw for you or a person you authorise
  • Website and client panel in English, Polish, Turkish, Russian, Ukrainian, Arabic and Romanian

How a foreigner sets up a company in Poland — the general path

General information, not legal or tax advice: foreign owners typically choose the sp. z o.o. (minimum share capital 5,000 zł). A sole proprietorship (JDG) in CEIDG is open to EU citizens and foreigners with certain residence statuses.

Henry Estates provides the address, mail handling and signed agreement for this path — not company registration, accounting or legal and tax advice. Our guides below explain each step.

  • Founding the sp. z o.o. online (S24) or before a notary
  • KRS entry, with NIP and REGON numbers assigned
  • VAT registration (VAT-R), if needed
  • Registering the beneficial owner in the CRBR
  • Opening a business bank account

Signing up with us — fully remote

Everything with us happens online: the AML identity check (KYC) required by the Polish AML Act, your digital signature on the bilingual Polish/English agreement and the pro-forma payment. No notary, no trip to Poland.

Most clients are set up within 24 hours of completing KYC. Data is processed under the GDPR (RODO) clause in Annex 2, with confidentiality guaranteed in writing.

Virtual office in Poland for non-residents: FAQ

Can a foreigner register a company at your address?

Yes — citizenship does not affect whether the KRS accepts the address. Every client passes an AML check, though: if you are a citizen of a country on the EU high-risk list or under EU sanctions, or your business is linked to such a country, the online process is not available, so please write to us before ordering.

Will you register my company or do my accounting?

No — we do not register companies, keep accounts or give legal or tax advice. That is for you or a law firm or accountant of your choice.

Do you help with a residence permit or a visa?

No, we do not arrange residence permits or visas. Our blog guide explains the general rules for a residence permit based on business activity.

How do I read my mail from abroad?

With your consent, we open and colour-scan your letters (within your plan’s allowance) and upload them to your client panel within one business day, with an e-mail alert. Originals wait in Warsaw for you or a person you authorise; mail uncollected for 90 days may be destroyed.

What language is the agreement in?

It is bilingual, Polish and English. The website and client panel come in English, Polish, Turkish, Russian, Ukrainian, Arabic and Romanian; questions can go to info@henryestates.pl.
